Equipment compliance tracking

Know what needs checking, and when it is due

ExpiryTrack keeps a record of every item you depend on — PAT tests, LOLER examinations, servicing, licences and certificates — reminds you before a deadline passes and puts every due date in your calendar. Built for any business with kit to keep in date: events, construction, hospitality, fleets, warehouses, gyms and more.

  • Free for up to 10 items
  • No card needed to start
  • Reminders before the date passes

ExpiryTrack tracks dates and records. It does not replace statutory inspections or professional advice.

How it works

Set up your kit once, then let ExpiryTrack watch the dates.

  1. Step 1

    Add your items

Create a record for each item: name, category, serial number, location and who is responsible for it.

  2. Step 2

    Set the check dates

Add the type of check and how often it is needed, and ExpiryTrack works out the next due date. Or enter the expiry date straight from the certificate.

  3. Step 3

    Get reminded before it expires

Email reminders at 30, 14 and 7 days before the date and again once something is overdue, plus every due date in Outlook, Google or Apple Calendar.

Questions

What kind of equipment does ExpiryTrack suit?+

Anything with a recurring deadline, in any industry: PAT-tested electrical equipment, LOLER lifting gear and forklifts, staging and rigging, scaffold towers, fire extinguishers, defibrillators and first aid kits, gym equipment, vehicle MOTs and servicing, operator certificates, insurance and licences.

Does ExpiryTrack carry out the inspections?+

No. ExpiryTrack records your items, dates and certificates and reminds you before a deadline. The inspections themselves still have to be carried out by a competent person.

How do the reminders work?+

You set the type of check and how often it is needed, and ExpiryTrack works out the next due date. Reminder emails go out 30, 14 and 7 days before that date, and again once it is overdue. Each reminder window can be switched on or off. Email reminders are part of the paid plans.

Can I see due dates in my calendar?+

Yes. Pro and Business include a private calendar feed. Add it to Outlook, Google Calendar or Apple Calendar from Settings and every due date appears as an all-day event, updating as you add and record checks.

Can I bring my existing records with me?+

Yes. You can import your items from a CSV file, then add the checks and dates for each one. There is a downloadable template to start from, and you can select several items at once to set their location, responsible person or category in one go.

What happens to my records if I cancel?+

Your items, checks and history stay in your account and are not deleted. Paid features such as email reminders and report exports stop until you subscribe again.

How many items can I track?+

Free covers up to 10 items, Pro up to 100 and Business is unlimited.

Can I pay annually?+

Yes. Pro is £10 a month or £100 a year, and Business is £25 a month or £250 a year, so paying annually gives you two months free. All prices include VAT.
